Tips on Selecting the Reception Location

Finding a banquet facility that is functional and practical

Reception Checklist

  • Reserve the site and confirm it
  • Sign agreement
  • Pay deposit to hold it
  • Hire a caterer
  • Plan the menu
  • Will alcohol be served open/limited/cash bar
  • Coordinate sequence of events with DJ, emcee, Band or Master of Ceremonies
  • Figure out seating assignments
  • Buy or make favors for guests
  • Give final guest counts to appropriate vendors, reception site or caterer

Ask the Reception Question

  • Is catering offered at site?
  • Can you hire your own caterer?
  • How many people can the reception site accommodate?
  • Is there a dance floor / how big?
  • Are tables, seating, dinnerware, linens supplied by site?
  • Is site appropriate for live music: Spacing, wiring hookups?
  • Do they have photos of other reception setups?
  • How many hours is site available minimum\overtime?
  • Is there a changing room?
  • What is layout of tables and how many people per table?
  • Is the deposit refundable in the event of a cancellation - What is the cancellation policy?
  • What kind of meal arrangements are available Buffet, Sit down, Russian?
  • Do they specialize in any particular cuisine?
  • Do they have a liquor license?
  • Is the catering service insured?
  • What is the ratio staff to guests?
  • How will the staff dress?
  • Will special provisions be made for special diets or children?
  • Does the catering fee include gratuities for the staff /bartenders?
  • What is done with the leftover food?
  • Is site large enough to accommodate all your guests?
  • Is there room for a dance floor?
  • Does the reception site provide linens, table decor, microphone/hook-up, napkins, dance floor, etc.?
  • Select type of reception as simple as just cake and punch, buffet or formal dinner.
  • Will hors d'oeuvres be served?

    Other Options to Consider
    depend on the degree of formality, time of day, inside or outside and the budget you've chosen

  • Try an ice sculpture or a balloon arch for entry way.
  • Personalized candy favors or other momentos for guests with your names and the date of your wedding on them.
  • Offer a variety of food selections for diet restrictive or health conscious guests.
  • Choose food in season to limit cost.
